Making complex research manageable

Cross-border background checks can involve many formats, jurisdictions and languages. AI can help analysts sort and prepare material, leaving more time for source assessment and professional judgement.

Translation and name variations

Useful tasks include translating documents, suggesting transliterations, grouping records and identifying possible duplicates. Analysts must independently establish whether two records concern the same individual, using reliable identifiers.

Efficiency does not justify broader checks

Social-media content, financial information and criminal records are not unrestricted recruitment databases in Spain. Each proposed check requires a job-related purpose, legal basis and proportionate scope. Faster tools do not expand employers’ legal powers.

Traceable sources and corrections

Screening workflows should preserve references to original documents, verification steps and correction records. AI-generated summaries are working aids, not evidence. Information must also be checked for accuracy, currency and relevance.

Vendor governance is essential

Before using AI services, assess confidentiality, processor contracts, security, retention, model-training practices and international data transfers. Personal screening files should never be uploaded indiscriminately to public AI tools.
